1. Purpose and Scope

KPMS Training Simulator ("KPMS," "Platform") is a digital healthcare revenue cycle management training platform operated by Transformation Revenue Cycle Management ("Company," "we," "us," or "our").

This Refund and Cancellation Policy ("Policy") explains refund eligibility and cancellation procedures for KPMS purchases, subscriptions, training seats, and organizational licenses.

KPMS provides immediate access to digital training materials, simulations, patient-account exercises, assessments, and proprietary educational content. Refund eligibility therefore depends on the purchased product, the applicable request period, and the amount of training activity recorded for the purchase.

This Policy is incorporated into the KPMS Terms of Service v1.4 by reference. The current version of this Policy is hosted at [Refund Policy URL]. Checkout displays this Policy before payment and records acceptance of this Policy alongside the accepted Terms of Service version.

All refunds are subject to this Policy and any consumer-protection, cancellation, refund, or payment-dispute rights that cannot legally be waived.

2. Definitions

For purposes of this Policy:

Platform means the KPMS Training Simulator website, software, training content, simulations, assessments, account functions, and related services operated by the Company.

Activate or Activation means the point at which payment is confirmed and the applicable training entitlement is provisioned to the customer's account. Unless a written organizational agreement states otherwise, an access period begins upon Activation.

Substantial Use means the level of recorded training activity described in Section 3.

Paid Access Period means the period during which a customer is entitled to access the purchased KPMS product, subscription, training seats, or organizational license.

Organizational License means an employer, school, college, workforce, institutional, enterprise, or other organizational purchase that provides access for multiple learners or seats during a stated license term.

3. Substantial Use

KPMS applies the same Substantial Use standard to every refund request of the same purchase type.

The Platform's own progress and activity records are the controlling measure of training activity. KPMS does not use an estimate based only on login frequency, elapsed time, or the customer's stated intention to complete training.

Individual learners.

An individual learner has made Substantial Use when the Platform records either of the following:

  • The learner has completed at least 25% of the total published training content assigned to the purchased product, as shown by the Platform's progress percentage;
  • The learner has begun the final capstone assessment.

Earning a Certificate of Completion is also a bright-line indication of Substantial Use.

The 25% figure is calculated using the Platform's documented completion methodology for the purchased program. The methodology must be consistent for the same product and must not be changed retroactively to disadvantage an already submitted refund request.

Organizations.

Organizational Substantial Use occurs when the number of Active Training Seats reaches or exceeds 20% of purchased seats, rounded up to the next whole seat, without a three-seat minimum. An Active Training Seat is a purchased seat assigned to a learner who has begun a substantive lesson, assessment, simulation, or other progress-recorded training activity. Seat assignment, login, and billing-only activity do not count. Separately contracted implementation services may affect eligibility only when the applicable agreement expressly provides for that treatment.

When KPMS declines a refund based on Substantial Use, KPMS will identify the specific activity figure or record relied upon and explain how the figure was calculated. The explanation will identify the relevant progress percentage, assessment, capstone activity, Certificate of Completion, number of active seats, or other applicable Platform record.

4. Individual Student Access

Individual Student Access provides a one-time purchase with 90 calendar days of access from Activation.

Current pricing, access periods, and plan features are disclosed at checkout and control the purchase.

Refund within three calendar days.

KPMS will issue a full refund when all of the following conditions are satisfied:

  • The refund request is submitted within three calendar days after Activation.
  • The learner has not made Substantial Use of the training program.
  • The request is not otherwise excluded by applicable law or a signed written agreement.

The three-calendar-day period is not an unconditional free-use period. If the learner has made Substantial Use, the purchase is non-refundable under this Section even when the request is submitted within three calendar days.

Requests after three calendar days.

After the three-calendar-day period, Individual Student Access is non-refundable except for:

  • A verified billing error or duplicate charge;
  • An unauthorized charge;
  • An applicable legal right; or
  • An exception approved under Section 17.

KPMS does not provide prorated refunds based solely on unused days, nonuse, or incomplete training after the applicable refund period.

When KPMS issues a refund, the related paid access ends after the refund is completed.

5. Professional Membership

Professional Membership is a recurring monthly subscription.

Current pricing, billing frequency, renewal date, access features, and other plan terms are clearly and conspicuously disclosed before the customer is charged.

KPMS obtains the customer's affirmative consent to the recurring charge before billing.

After enrollment, KPMS sends the customer a confirmation that includes the renewal terms, cancellation policy, and KPMS contact information.

Cancellation method.

Customers can cancel through the account billing controls available in the KPMS account. Customers can also request cancellation by emailing info@kpmstraining.com.

Cancellation stops future recurring charges and takes effect at the end of the current paid billing period. Access continues through the paid-through date unless applicable law requires a different result.

Cancellation alone does not generate a refund for a completed billing period.

Accidental renewal refund.

KPMS will issue a refund for an accidental renewal when all of the following conditions are satisfied:

  • The customer submits the request within seven calendar days after the renewal charge.
  • The customer has not engaged in Substantive Training Activity during the new billing period. Signing in only to review billing, manage the account, or cancel does not count as Substantive Training Activity.
  • The request is not otherwise excluded by applicable law or a signed written agreement.

Monthly membership charges are otherwise non-refundable except for verified billing errors, unauthorized charges, applicable legal rights, or an exception approved under Section 17.

If a payment fails, KPMS can provide a grace period before restricting access according to the applicable billing configuration.

6. Employer Training Licenses

Employer Training Licenses provide organizational access for an annual license term.

Available seat packages include:

  • 5 seats;
  • 10 seats;
  • 25 seats;
  • 50 seats; and
  • 100 seats.

Enterprise and custom arrangements can use different seat quantities under a signed written agreement.

Current pricing, seat quantities, access features, and annual term details disclosed at checkout or in a signed written agreement control the purchase.

The Terms of Service will be aligned with this seat package list before this Policy is published.

Initial license refund.

KPMS will issue a full refund for an initial Employer Training License when all of the following conditions are satisfied:

  • The request is submitted within 14 calendar days after the license commencement date specified at checkout or in the Order Form (or Activation if no separate commencement date is specified).
  • Organizational Substantial Use has not occurred.
  • Separately contracted implementation or customization services have not materially commenced under provisions expressly affecting refund eligibility.
  • The request is not otherwise excluded by applicable law or a signed written agreement.

After the initial 14-calendar-day period, or after organizational training has substantially commenced, the annual license is non-refundable except for verified billing errors, unauthorized charges, applicable legal rights, or an exception approved under Section 17.

Unused seats do not qualify for a refund solely because the organization:

  • Did not assign all purchased seats;
  • Experienced employee turnover;
  • Changed staffing plans;
  • Chose not to complete training; or
  • Purchased more seats than it ultimately needed.

7. Additional Organizational Seats

Organizations can purchase additional seats during an active Organizational License term.

Additional seats inherit the existing license expiration date. Purchasing additional seats does not extend or renew the organization's license term.

Current pricing, seat quantities, and features disclosed at checkout or in a signed written agreement control the purchase.

Additional seat refund.

KPMS will issue a full refund for an additional seat when all of the following conditions are satisfied:

  • The request is submitted within 14 calendar days after the additional seat purchase.
  • The affected seat remains unassigned and unused.
  • No learner has begun substantive training activity on the affected seat.
  • The request is not otherwise excluded by applicable law or a signed written agreement.

Once a seat has been assigned or substantive training activity has begun, that seat is non-refundable except for verified billing errors, unauthorized charges, applicable legal rights, or an exception approved under Section 17.

Unused seats do not automatically qualify for a refund or account credit.

8. Organizational License Renewals

Organizational renewals are separate transactions that extend the applicable license term.

Annual Organizational Licenses do not automatically renew unless automatic renewal is expressly included in the applicable agreement or order form.

Erroneous or unintended renewal refund.

KPMS will issue a refund for an erroneous or unintended organizational renewal when all of the following conditions are satisfied:

  • The request is submitted within 14 calendar days after the renewal charge.
  • Organizational Substantial Use has not occurred during the renewed term, and separately contracted services have not materially commenced under controlling terms.
  • The request is not otherwise excluded by applicable law or a signed written agreement.

After the 14-calendar-day period, or after material training activity has occurred during the renewed term, the renewal is non-refundable except for verified billing errors, unauthorized charges, applicable legal rights, or an exception approved under Section 17.

A signed organizational agreement with different refund, cancellation, renewal, credit, or termination terms controls over this Policy, subject to applicable law.

9. Schools, Colleges, and Workforce Training Programs

School and Workforce Training Licenses generally follow the Organizational License refund principles in Sections 6 through 8.

Initial license refund.

KPMS will issue a full refund for an initial school, college, or workforce training license when all of the following conditions are satisfied:

  • The request is submitted within 14 calendar days after the agreed license start date.
  • Organizational Substantial Use has not occurred.
  • Separately contracted implementation or customization services have not materially commenced under provisions expressly affecting refund eligibility.
  • The request is not otherwise excluded by applicable law or a signed written agreement.

If a school or workforce program cancels a cohort before training begins, the organization can request one of the following arrangements:

  • Transfer of eligible unused seats to another cohort;
  • An account credit; or
  • A refund.

The applicable written institutional agreement controls the result. If no written agreement controls, KPMS will evaluate the request under Sections 6 through 8 and Section 17.

Additional seats purchased during an active institutional term inherit the existing license expiration date. Purchasing additional seats does not extend or renew the institutional license term.

10. Enterprise and Custom Agreements

Enterprise and Custom Agreements are governed by the applicable signed agreement, proposal, order form, or statement of work.

Where those documents establish different cancellation, refund, credit, renewal, or termination provisions, the applicable signed agreement controls, subject to applicable law.

11. Certificates of Completion and Refunds

KPMS treats financial transactions and educational achievement as separate matters.

A legitimately earned Certificate of Completion is not automatically revoked solely because KPMS approves an ordinary customer-service refund.

KPMS can revoke a Certificate of Completion only for documented reasons that invalidate the underlying completion record, including:

  • Fraud or falsification;
  • An academic-integrity violation;
  • A certificate issued in error;
  • Failure to satisfy the actual completion requirements; or
  • Other documented circumstances that invalidate the underlying completion record.

KPMS will apply a documented review process before revoking a Certificate of Completion. The learner will receive notice of the basis for the proposed revocation and an opportunity to provide relevant information.

KPMS retains training history according to the Privacy Policy.

KPMS intends to maintain certificate verification for as long as the applicable verification service and records are maintained, subject to the Privacy Policy, operational availability, and applicable law. There is no automatic 24-month verification expiration and no guarantee of perpetual verification.

12. Duplicate Charges and Billing Errors

KPMS will investigate reported billing errors, including:

  • Duplicate payments;
  • Incorrect plan charges;
  • Incorrect seat quantities;
  • Charges occurring after a documented cancellation; and
  • Other verified payment-processing errors.

KPMS will correct or refund a verified billing error regardless of the ordinary refund period.

Customers should report suspected errors promptly and provide the relevant purchase or receipt reference.

13. Chargebacks and Payment Disputes

Customers have the lawful right to dispute a charge through a bank, card issuer, payment network, or other authorized process.

Customers do not have to contact KPMS before exercising a lawful payment-dispute right.

Exercising a lawful dispute right will not, by itself, be treated as a violation of this Policy or the Terms of Service.

KPMS can pause affected paid access during a payment-dispute investigation only when KPMS has a documented, good-faith basis to suspect fraud or misuse of the dispute process.

A chargeback or payment dispute does not, by itself, revoke an earned Certificate of Completion. Certificate treatment is governed exclusively by Section 11.

A payment dispute alone does not justify certificate revocation. Certificate review requires evidence that the underlying completion record is invalid under Section 11.

14. How to Request a Refund

Refund requests should be submitted by email to:

info@kpmstraining.com

Subject: KPMS Refund Request

The request should include:

  • Full name;
  • Email address associated with the KPMS account;
  • Purchase date;
  • Purchased plan or organization name;
  • Receipt or transaction reference; and
  • Reason for requesting the refund.

Organizational refund requests must be submitted by an authorized organization representative.

Do not email complete credit-card numbers, card security codes, or other unnecessary sensitive financial information.

15. Refund Review and Processing

KPMS will acknowledge refund requests within three business days.

KPMS will review each request based on:

  • The applicable purchase terms;
  • This Policy;
  • The Terms of Service;
  • Any applicable signed organizational agreement;
  • Payment records;
  • Recorded Platform activity; and
  • Applicable law.

When a refund is declined because of Substantial Use, KPMS will provide the specific activity figure or record relied upon and explain the calculation under Section 3.

Approved refunds will be submitted through Stripe or another applicable payment processor to the original payment method, where supported.

Refund processing commonly takes five to ten business days after submission. Actual timing depends on the payment processor, bank, card issuer, and payment method.

KPMS does not control when a bank, card issuer, or other financial institution makes refunded funds available.

Certificate treatment after a refund is governed by Section 11.

16. KPMS Discontinuing or Materially Reducing Purchased Services

If KPMS ends purchased access early or materially reduces the purchased program for reasons not attributable to the customer's material breach, KPMS will provide an appropriate remedy consistent with applicable law and the purchase agreement. Remedies may include restoration, a substantially equivalent replacement, a prorated refund for the affected unused access period, or another arrangement mutually accepted by the customer. Account credit will not be imposed instead of a refund where law requires a refund. This provision does not create an additional refund entitlement for access terminated because of a customer's material breach, except as required by law.

17. Exceptions and Applicable Law

KPMS may approve a reasonable exception based on documented circumstances.

Approval of an exception in one case does not guarantee the same result in another case.

Nothing in this Policy limits or waives a consumer-protection, cancellation, refund, payment-dispute, or other right that cannot lawfully be waived.

Where applicable law provides greater protection than this Policy, applicable law controls.

18. Relationship to Other Documents

This Policy must be read together with the KPMS Terms of Service, Privacy Policy, and any applicable Organizational License Agreement.

If a signed organizational agreement differs from this Policy, the signed organizational agreement controls for the conflicting organizational provision, subject to applicable law.

The Terms of Service, Privacy Policy, and Platform functionality must remain consistent with this Policy. The Company will align the Terms of Service with the confirmed seat packages and Certificate of Completion verification period before publication.

19. Document Status

DRAFT, PENDING OWNER APPROVAL AND LEGAL REVIEW

This Policy requires review by a Georgia-qualified attorney before publication, including review of the automatic-renewal, subscription, refund, privacy, liability, and governing-law provisions in the related Terms of Service.

This Policy is not effective until it has been approved and published at [Refund Policy URL].
